Exchange Retention Policies change the PR_LAST_MODIFICATION_TIME causing items to re-archived when shortcuts are not used.
The duplicates are created in archive because of the archive actions in the Archiving Actions tab of the Exchange Mailbox Policy settings:
Create shortcut to archived item after archiving: unchecked (Create Shortcut = False)
Delete original item after archiving: unchecked (Delete Original = False)
The Archiving Task, by design, thinks that the item has been modified after archiving because PR_LAST_MODIFICATION_TIME MAPI attribute has DateTime greater than the archive date. Exchange Messaging Records Management (MRM) updates the message with the retention tags or policies on the Exchange side and hence changes the PR_LAST_MODIFICATION_TIME. Since the “Create Shortcut = False” and “Delete Original = False”, the Archiving Task considers such items as eligible for archiving because Modified DateTime > Archive DateTime.
Workaround:
There are currently no plans to support retention policies in Exchange.
If Exchange Retention Policies are used select one or both options.
- Set the Enterprise Vault Policy to create shortcuts
- Set the Enterprise Vault Policy to delete the original message.
Resolution
Enterprise Vault Corporation has acknowledged that the above-mentioned issue is present in the version(s) of the product(s) referenced in this article.
There are currently no plans to address this issue by way of a cumulative hotfix or service pack in the current or previous versions of the software at the present time. This issue may be resolved in a future major revision of the software at a later time, but is not scheduled for any release. Issue/Introduction
When both Delete original item after archiving and Create shortcut to archived item after archiving are unchecked, the message in Outlook will retain the original message class after archiving. When an Exchange Retention Policy is pushed to the client and the messages are updated with the new policy, these items will be duplicated when an archive is run against that mailbox.
