Cause
During PST migrations it may be necessary to create shortcuts for items that are being ingested and the amount of space required to create the shortcuts may exceed the amount of space allocated to the target mailbox.
Resolution
- Edit the PST migration policy.
- Change the "Policy properties" option from "Inherit policy properties from Exchange Mailbox Policy" to "Define custom properties"
There are various levels of detail that can be included in shortcuts and these will determine the size of shortcuts that will be created during PST migrations.
- Access the "Shortcut Content" tab and then access the "Shortcut body" section
- Setting the value of "Content of shortcut body:" to "None" will result in no text within the body of messages being included in shortcuts.
- Setting the value of "Content of shortcut body" to "Use message body" will include the entire contents of a message and will result in the largest possible shortcut size.
- Setting the value of "Content of shortcut body" to "Customize" offers the most flexibility by enabling the administrator to select the number of characters to be included in shortcuts, meaning messages can be more easily identified by the end- user while still reducing the size of each shortcut.
The most effective means of determining the correct balance between the level of detail included in each shortcut and keeping the size of shortcuts to a minimum would be to implement a custom shortcut body policy and completing a test migration to identify the size of shortcuts that will be created. Once this information has been identified the number of messages in PST's that are yet to be migrated can be used to calculate the expected amount of space required and each mailbox can then be increased in size according to the amount of space required to successfully import the PST and create the required shortcuts.
