Resolution

To prevent an Exchange Archiving Task from archiving voice mail items, one would would need to amend the "Message Classes" in the Directory Properties using the Vault Administration Console (VAC), and add IPM.Note without the wildcard (*). Once this has been added to the message classes in the Directory Properties, one can now select and deselect specific message classes to be used for archiving in the Policies > Exchange > Mailbox section in the VAC.

Microsoft Exchange voice mail messages have the following message class:

IPM.Note.Microsoft.Voicemail.UM.CA

Please note if users have the ability to 'Store in Vault' it will still be possible to manually archive voice mail messages, so to completely prevent this, the mailbox policy should be updated accordingly.

If items such as Faxes are desired to be archived, add the message class IPM.Note.Fax in the Directory Properties, then apply to the Mailbox policy.

Note: The message class could be different depending on 3rd party software being used, so check their documentation.

You can view all the message classes present in a mailbox by following the steps below:

  1. Open the mailbox in question using Microsoft Outlook
  2. On the subject field right click and select 'Customize current view'.
  3. Select 'Fields'.
  4. In the 'Select available fields from:' drop down, select 'All Mail Fields'.
  5. In the 'Available fields:' list, highlight 'Message Class' and click on the Add -> button.
  6. In the right hand selection list 'Show these fields in this order:' Highlight 'Message class' and click on 'Move Up' until it is at the top.
  7. Click OK on all the windows and it will now display the message class.

Issue/Introduction

By default, Message Classes in Enterprise Vault are configured with wildcards. For example, IPM.Note*, meaning voice mail messages and all other messages with a Message Class starting with IPM.Note will be eligible for archiving.
