How to Change a User's Policy

The Enterprise Vault Mailbox Archiving Policy is assigned to the users via the Provisioning Group.

To change a user policy, an administrator should create a new policy. Then, assign it to the user via the Provisioning Group, run the Provisioning Task to provision the user, and then synchronize the mailbox for the change to take effect right away. Alternatively, EV Administrator can wait until the next scheduled run for the provisioning task and synchronization.

To create a new policy, and move a user from another policy.
  1. Open the Vault Admin Console (VAC).
  2. Browse to Policies > Exchange, right-click on Mailbox and select New Policy.  
  3. Name the policy and click OK
  4. Right-click on the new policy and choose Properties to configure.
  5. Set the archiving options as well as any other policy configuration while this window is open.
  6. Click OK to save the policy configuration. 
 
Switch the user off the current mailbox policy and move them to the newly created one.
  1. Open the VAC.
  2. Browse to Targets Exchange > (Exchange Server Name) > Provisioning Groups.
  3. Right-click on the provisioning group to which the user belongs, and select Properties.
  4. Switch the Mailbox Policy to the newly-created one by selecting it from the drop-down list and click OK.
  5. Expand Enterprise Vault Servers > (Enterprise vault server name) > Tasks, and right-click on the Provisioning Task.
  6. Click Run Now and select In normal mode and click OK.
  7. Wait for the task to go from Processing to Running.
  8. The final step is to synchronize the mailboxes. Browse to Enterprise Vault Servers > (Enterprise Vault server name) > Tasks. Right-click on the Exchange Mailbox Archiving Task for the correct Exchange server and open Properties.
  9. Select the Synchronization tab and click the Synchronize button. The new policy will now be reflected.

Note: This will update all users in the group to the new policy. If it is required to move only one, or a few users, to the new policy then a new provisioning group should be created and placed at a higher priority then other groups to ensure that users are updated properly.
