The EV Exchange Desktop (EV8) policy setting Shortcut Deletion Behavior has the option to delete the archived item when the shortcut is deleted from Microsoft Outlook. Restrictions in Enterprise Vault settings and certain delete requests in Outlook will not delete the archived item.
Restrictions in Enterprise Vault Settings
- If the site setting Users can delete items from their archives is not selected, then the setting of Shortcut deletion behavior is ignored and the shortcut is deleted.
- If the associated Retention category for the item has the option Prevent deletion of archived items in this category selected, only the shortcut will be deleted.
- Deleting a shortcut whilst Enterprise Vault is in Read Only mode or the Vault Stores are in Backup Mode will prompt to only delete the shortcut.
Delete Requests in Outlook that will not delete the Archived Item
- If the shortcut is dragged/dropped into the Deleted Items folder, it will not delete the archived item.
- If there are shortcuts in the Deleted Items folder and the user chooses the Outlook Empty Deleted Items Folder option, those shortcuts are deleted but the corresponding archived items are not deleted.
- If a shortcut is deleted from Outlook Search or Outlook Advanced Search, only the shortcut will be deleted, the corresponding archived items are not deleted.
- If Outlook Auto-cleanup deletes the shortcut, only the shortcut will be deleted, the corresponding archived items are not deleted.
If only the shortcut is deleted, deleting the archived item can be accomplished by:-
- Using the Enterprise Vault web applications to delete the archived item - Advanced Search and/or Archive Explorer.
- Storage Expiry will delete the archived item if its retention period has expired.
