How to search for items only in the To, CC or BCC field using Enterprise Vault (EV) Discovery Accelerator (DA)

The available To field only index attributes are reto, jrto, rtdn, and rtea.

reto - Display Name Or Email Address
jrto - Message Envelope recipient for journaled items
rtdn - Display Name
rtea -  Email Address
 
The available CC index attributes are reccjrccredn and reea.

recc - Display Name Or Email Address
jrcc - Message Envelope CC: recipient for journaled items
redn - CC Display Name
reea - CC Email Address
 
The available BCC index attributes are rbccjrbcrbdn and rbea.

rbcc - Display Name Or Email Address
jrbc - Message Envelope BCC: recipient
rbdn - BCC Display Name
rbea - BCC Email Address
 
To add an attribute that will be available for all Searches in all Cases:

1. Open the DA Client with an account that has sufficient permissions.
2. Click the Configuration Tab in the top toolbar.
3. Click the Search Attributes Sub-tab.
4. Click the New Attribute button.
5. In the Name: field, enter either reto, recc or rbcc
        Note: These attributes must be in lowercase characters.
6. In the Display Name: field, enter Display Name or Email Address.
7. In the Type: field, select the Multiple lines option.
8. In the Data type: field, the only option is String.
9. Leave the Mandatory check box unchecked.
10. In the Default value: field, leave the pair of double quotes.
11. In the Operators: field, select the desired option (Any, All, Exact or Phrase) or leave none selected.
12. Click the Save button.
13. Repeat as needed to add any other options as needed with the appropriate Display Name.
14. In any Case's New Search, the options will be displayed in the Custom Attributes section as ready to be populated.

To add an attribute within a Search:

1. Access the desired Case under the Case Tab using an account that has sufficient Case level permissions.
2. Click the Searches Sub-tab.
3. Click the New Search button.
4. Provide the needed search criteria other than the needed BCC field criteria (specifically, a search name, the date range for the search, the Subject or Content field(s) criteria, etc).
5. Toward the bottom of the search criteria page, expand the Custom Attributes section.
6. In the Other Attribute: row
a. populate the Name: field with the appropriate attribute (for example, rbcc, jrbc, rbdn, rbea or jrbc).
b. populate the Value: field with the appropriate search criteria (for example, a target user's Display Name or SMTP e-mail address).
7. Click the OK button to start the search.

 
Notes:
  1. Although some custom attributes work fine in uppercase, the recommendation is to use them in lowercase to match the Enterprise Vault index attribute specification.
  2. The attributes that begin with the letter r can be searched for items that were archived at the time when Exchange 2003 was BCC enabled. 
  3. The rbcc, rbdn and rbea attributes cannot be used to search for BCC when items were archived at the time when Exchange 2003 was Envelope Journaling enabled.
  4. The jrto, jrcc and jrbc attributes can be searched for items that were archived at the time when Exchange 2007 and Exchange 2010 were Envelope Journaling enabled.

 

Issue/Introduction

By default, Enterprise Vault (EV) Discovery Accelerator (DA) searches using the options From or To or From will search for Display Names or SMTP addresses in all of the recipient fields (To, CC and BCC). A need can arise where messages must be found based strictly on where a recipient was included, specifically in the To, CC or BCC field. The individual field, such as BCC, search field does not exist on the default Case Search page of DA. A configuration option exists to add the To, CC or BCC index attribute as a Custom Attribute in order to search for items located in the BCC field.
