The following steps detail the process of removing shortcuts from the mailbox and recreating them without duplicates.
Notes:
- There is currently no automated means of removing only the duplicate shortcuts, and all shortcuts must be deleted from the mailbox manually.
- If duplicates exist in the archive prior to the PST export, the duplicate shortcuts will be re-created in the mailbox.
- Once the PST file is exported from the archive, it must be de-duplicated before being re-imported. Enterprise Vault does not currently contain a mechanism for de-duplication of PST files, therefore third-party software must be used to facilitate the de-duplication process.
First, the archive must be exported to a PST file with the original items removed from the archive. This can be done with the following steps:
- Export the items using the PST export wizard.
- On the Specify which items to export page, select the option desired:
- Export all items
- Export all items archived with this Retention Category:
- Export all items with a modified date in this range:
- Export all items from this root folder path:
- Enter a single backslash \ , to export from the root of the archive, or specify the desired folder in the text box. An example of exporting the Inbox would be \Inbox.
- If needed, check the option to Remove exported items from archive
- Check the option to Export items from subfolders below root.
- Continue with the PST export wizard.

Once the PST export is complete, the shortcuts can be removed from the mailbox.
This can be done by performing an Advanced Find for all messages in the mailbox which have a Message Class of IPM.Note.EnterpriseVault.Shortcut, then deleting them.
To perform an Advanced Find:
- Open Outlook.
- Hold down the Control+Shift keys, and press the ‘F’ key.
- When the Advanced Find dialog box opens, click on the Advanced tab.
- Under the Define more criteria section, click on the Field drop-down menu and navigate to and click on All Mail Fields > Message Class
- Ensure the Condition field is set to contains.
- Within the Value field, enter the following: EnterpriseVault
- Click on Add to List.
- Click on Browse to select the mail folder you wish to search within. If you wish to search the entire mailbox and all sub-folders, check the boxes for ‘Mailbox – ‘Username’ and Search Subfolders.
- Username represents the name of the affected user.
- Click Find Now.
- Given ample time to search, this will find all of the shortcuts in the mailbox or the specific folder being searched. Once the Find Now button becomes active again, the search should be complete. Click on one of the messages, hold down the Ctrl key, then press ‘a’. This will select all of the shortcuts.
- Once highlighted, press the Delete key.
Once they are deleted, the PST can then be re-imported to the archive.
During the Import process, the option for “Yes, create shortcuts within the associated mailboxes” needs to be selected on the “Do you want to create shortcuts for the newly archived items?’ page of the PST Import wizard.
