Description

If users require access to archived items in a shared mailbox that is archived by an EV server in a different site and EV directory than their own EV server, a policy change needs to be implemented to ensure that the hidden EV settings within their mailboxes are updated with the Web Application URL for the EV server that is archiving the shared mailbox.  This change will allow the Enterprise Vault Client Extensions to determine and build the correct Retrieval URL for the archived item.

To configure this policy setting, follow the steps below:

For Enterprise Vault 8.0 and later:

1)  Open the EV Site properties of the EV server that archives the shared mailbox in the Vault Administration Console .  Make a note of the Vault Site Alias on the General tab.

2)  On the user's EV server, open the Desktop Policy for the affected user and click the Advanced Tab.  Ensure Outlook is selected in the drop down list.

3)  Find the "Web Application URL" policy setting and enter the details from step 1:

For example, if the Vault Site Alias in step 1 was "EV_London", the string below would need to be assigned to the Web Application URL setting:

[EV_London]=https://ev_london.mydomain.local/EnterpriseVault

Note: If there is more than one site, multiple entries can be added to the Web Application URL setting separated by a semicolon.

4)  Synchronize the user's mailbox via the Synchronization tab in the properties of the archive task that processes the user's mailbox, so that the Web Application settings are applied.

5)  Ensure that the URL entered into the Web Application URL setting is added to the user's Trusted Internet Sites so that the user is not prompted for a username and password when retrieving archived items from the shared mailbox.

6)  Add the user's domain credentials to the properties of the shared mailbox's archive.
