Existing Reports disappeared after renaming an Accelerator Customer

Cause

Once an Accelerator Customer is created, it is not expected its name should be changed, as the naming of a Customer is an operation that usually requires planning and conformity to any company processes, even though the ability to change its name is available. As such, however, the need to change a name should also be planned and should confirm to company processes. The Reports themselves are created on the SQL Server Reporting Services (SSRS) server and are linked to the Customer name at the time of Report creation. There is currently no mechanism within the Accelerators to re-name the Customer folder name on the SSRS server or move the Reports to another Customer folder.

Resolution

Review the Accelerator Reports folders on the Reports website on the SQL Server Reporting Services (SSRS) server, typically http://localhost/reports, to determine which of the following scenarios is applicable, then follow the appropriate remediation option. Note - If there is more than one Customer database in use, then more than one scenario may be applicable, but only one scenario will be applicable to any given Customer database.

  1. No Reports have been created after Customer rename and no users have connected to the renamed Customer or clicked on the Reports Tab in the Client. In this scenario, there will only be a folder on the SSRS server with the previous Customer name that contains all the previous user-created Reports. See option 1.
  1. No Reports have been created after Customer rename, users have clicked on the Reports Tab in the Client but have not created any Reports. In this scenario, there will be a folder on the SSRS server with the previous Customer name that contains all the previous user-created Reports, as well as a folder with the new Customer name with no user-created Reports. See option 2.
  1. Reports have been created after Customer rename. In this scenario, there will be a folder on the SSRS server with the previous Customer name that contains all the previous user-created Reports, as well as a folder with the new Customer name with the new user-created Reports. See option 3.


Option 1 - Edit the Customer's Reports Folder name at the time of Customer rename and before connecting to the renamed Customer

  1. Open the Services management console on the Accelerator server and stop the Enterprise Vault Accelerator Manager Service (EVAMS).
  1. Open the Reports website on the SQL Server Reporting Services (SSRS) server, typically http://localhost/reports, then open the applicable Accelerator Reports folder (Compliance Accelerator Reports or Discovery Accelerator Reports) and review the Customer folders - only the previously named Customer folder should exist.
  1. Click the down-arrow or ellipses (depending on SSRS version) on the previously named Customer folder, then click on Manage.
  1. Edit the Customer folder's Name under the Properties tab to the new Customer name, then click Apply. Note - The name may show as being truncated after clicking Apply as the folder icon can only display a limited number of characters.
  1. Start the EVAMS on the Accelerator server and test Reports access.


Option 2 - Edit the Customer's Reports Folder name at the time of Customer rename and after connecting to the renamed Customer when no new Reports have been created

  1. Open the Services management console on the Accelerator server and stop the Enterprise Vault Accelerator Manager Service (EVAMS).
  1. Open the Reports website on the SQL Server Reporting Services (SSRS) server, typically http://localhost/reports, then open the applicable Accelerator Reports folder (Compliance Accelerator Reports or Discovery Accelerator Reports) and review the Customer folders - the previously named Customer folder and the newly named Customer folder should exist.
  1. Open the newly named Customer folder and verify all users' folders have no reports.
  1. If no Reports exist in any user's folder or no users' folders exist, navigate back to the applicable Accelerator Reports folder and click the down-arrow or ellipses (depending on SSRS version) on the newly named Customer folder, then click on Manage.
  1. Click on Delete and then click on Delete again.
  1. Navigate back to the applicable Accelerator Reports folder and click the down-arrow or ellipses (depending on SSRS version) on the previously named Customer folder, then click on Manage.
  1. Edit the Customer folder's Name under the Properties tab to the new Customer name, then click Apply. Note - The name may show as being truncated after clicking Apply as the folder icon can only display a limited number of characters.
  1. Start the EVAMS on the Accelerator server and test Reports access.


Option 3 - Move the existing Reports for each user to the newly named folder after Reports have been created in the newly named Customer

  1. Open the Services management console on the Accelerator server and stop the Enterprise Vault Accelerator Manager Service (EVAMS).
  1. Open the Reports website on the SQL Server Reporting Services (SSRS) server, typically http://localhost/reports, then open the applicable Accelerator Reports folder (Compliance Accelerator Reports or Discovery Accelerator Reports) and review the Customer folders - the previously named Customer folder and the newly named Customer folder should exist.
  1. Open the previously named Customer folder.
  1. Review each user's folder in the previously named Customer folder and compare with the same user's folder in the newly named Customer. There are 2 scenarios: the user's folder does not exist in the newly named Customer folder, or the user's folder does exist in the newly named Customer folder.

4.1. Scenario 1 - The user's folder does not exist in the newly named Customer folder. In this case, the user's folder containing the user's Reports can be moved from the previously named Customer folder to the newly named Customer folder:

4.1.1. Click the down-arrow or ellipses (depending on SSRS version) on the user's folder in the previously named Customer folder, then click on Manage.

4.1.2. Click on Move, then Select the newly named Customer folder.
Note - If an error is seen advising 'The item ... already exists', then the user already has a folder in the newly named Customer folder. Acknowledge the error and use the next scenario for the user.

4.1.3. Navigate back to the previously named Customer folder and repeat for all users' folders that do not exist in the newly named Customer folder.

4.2. Scenario 2 - The user's folder does exist in the newly named Customer folder. In this case, the Reports within the user's folder can be moved to the user's folder in the newly named Customer folder:

4.2.1. Click on the user's folder to open it.

4.2.2. Click the down-arrow or ellipses (depending on SSRS version) on each report in the user's folder in the previously named Customer folder, then click on Manage.

4.2.3. Click on Move, then Select the user's folder in the newly named Customer folder.
Note - If an error is seen advising 'The item ... already exists', then the user already has a report with the same name in the user's folder in the newly named Customer folder. Acknowledge the error, rename the Report in the Report Properties window, Apply the new name and try the Move again.

4.1.3. Navigate back to the previously named Customer folder and repeat for all Reports in that user's folder, then repeat for all users where their folders exist in the newly named Customer folder.

  1. Start the EVAMS on the Accelerator server and test Reports access.

 

Issue/Introduction

After renaming an Enterprise Vault (EV) Compliance Accelerator (CA) or Discovery Accelerator (DA) Customer via the Customer Properties page in the EVBAAdmin administration website, any existing Reports created in the Reports Tab are no longer listed. New Reports can be created and function as expected. There are no errors or warnings displayed in the Client or in the EV Event Logs on the Accelerator Server. Note - This only applies to Reports created within the Accelerator Client using the built-in Report templates and does not apply to any reports created via OData.
