Cause

This anomaly is caused by the Search creation process incorrectly listing the 'Automatically accept' option, which then bypasses the prompt to Accept the Search into a new Research Folder, thus resulting in an orphaned Research Folder Search

 

Resolution

The orphaned Research Folder Search will not cause any issues, other than to take up some space in the Accelerator Customer database, and may be safely left in place. Running another Research Folder Search under All Research and not selecting the 'Automatically accept' option should allow the Search to be Accepted into a new Research Folder, either when the Search is created or when the Search is Accepted.

If it is needed to remove the orphaned Research Folder Search due to it taking up too much space as a result of a large hit count, please contact technical support for assistance in removing the Research Folder Search.

 

Issue/Introduction

When an Enterprise Vault (EV) Compliance Accelerator (CA) or Discovery Accelerator (DA) Research Folder Search is created under Research | All Research, the first step is to choose a context for the Search. This context is a CA Department or DA Case. The reason is to allow the existing Searches in the CA Department or DA Case to be used as templates for the new Research Folder Search. Additionally for CA, the context allows for the use of the Monitored Employees listed in the Department selected for the context. The Search Criteria page is presented after selecting the appropriate context. One important option to note is the 'Save results in' option, which provides the ability to create a new Research Folder for the Search or to '<Decide later>'. If the '<Decide later>' option is selected, the Search will prompt for a Research Folder selection when it is Accepted. Such Research Folder Searches do not normally contain the Search options 'Include items already in review' and 'Automatically Accept'. This is by design as this is the first Search in the new Research Folder created when the Search is created, or in the new Research Folder that will be created when the Search is Accepted. Additionally, the 'Automatically accept' option is not required. One anomaly that can cause the 'Include items already in review' and 'Automatically accept' options to appear is when a Scheduled Search is selected as a template for a Research Folder Search created under All Research. If the 'Automatically accept' option is selected, either via the template or by the user creating the Search, along with the 'Save results in' option '<Decide later>', the Search will be automatically Accepted into Review. However, the Search will not be visible in the Review tab, regardless of Case or Department selection and regardless of Search or Scheduled Search Filter Facet selection. The Search will be visible in the Searches tab under Research | All Research after selecting the 'Filter by status' option 'In Review' and clicking Refresh, but no actions, including Reject, can be performed on the Search.
