Enterprise Vault (EV) Compliance Accelerator (CA) / Veritas Advanced Supervision (VAS) and Discovery Accelerator (DA) use logical containers to store data. For CA/VAS, these are called Departments and contain Monitored Employees for supervision/surveillance functions, such as Random Sampling, Searches, Reviews and Exports. For DA, these are called Cases and contain functionality related to discovery actions, such as Searches, Reviews, Exports and Legal Holds.
When Cases or Departments are created, their default status is Open. This means they are available to users who have access to perform the various functions via Role-Based Access (RBA). Other statuses include Closed and Deleted. Deleted removes all items found by Random Sampling (for CA/VAS) and Searches, and users can no longer access the Case or Department. Closed simply places the Case or Department into a status where it cannot be accessed without administrative access, Random Sampling (for CA)/Searches /Exports will not run, but the data within the Case or Department remains intact, including DA Legal Holds, and will be accessible if re-opened.
There are 2 ways to close a Case or Department. Both require the user to be assigned to an Application Role with the Create and Configure Cases Permission for DA or the Create Departments Permission for CA/VAS.
1. Via the Properties:
1.1. Open the Case or Department in question.
1.2. Navigate to the Properties tab.
1.3. In the Client, click the drop-down menu next to Case Status for DA or Status for CA. If using VAS, click on Edit Department, then click the drop-down menu next to Status.
1.4. Select Closed.
1.5. Click Save to save the change.
2. Via the Cases or Departments tab in the Client, or the Departments widget in VAS:
2.1. Click the All Cases option for DA or All Departments option for CA/VAS.
2.2. Select the Tree View (default selection) option, then either the List View or Expand all options as needed (Client only).
2.3. In the Summary pane, click on the Case or Department in the list to select it. If multiple Cases or Departments need to be closed, CTRL click on each additional required Case or Department if using the Client or select the box next to each Department if using VAS.
2.4. Click Close Case for DA or Close Department for CA/VAS.
Notes
1. Closing a Parent Department will remove the Parent Department and all Child Departments from the Tree View in the CA Client. The List View in the CA Client should still show the Child Departments.
2. To re-open a Closed Department in VAS, select the Department under All Department, then click on the Open Department button.
