Generating the New License File

To generate your license file, you will need to login into the Enterprise Vault Licensing Portal with your account administrator credentials. If you don’t have an account created, you need to register using your first name, last name, email address and either Order number or Entitlement ID.

  • Log in to the Licensing Portal: Navigate to portal.enterprisevault.com and enter your administrator credentials. If you are a registered user, you will receive a one-time magic link on your email address. Click on the magic link to get access to the portal.
  • Select Account: If your ID is associated with more than one account, you will be directed to the ‘Account Selection’ screen.

Note: You are only allowed to access ‘Compliant’ organizations from the account selection screen. In case of discrepancies, please raise a support case to reconfirm your legal/ trade compliance status.

  • Locate License Management: In the main dashboard, click on the Licenses tab.
  • Select Your Product: Find the product in your list of active entitlements. You may use the search or filter to identify the right product.

Note: You can view the Subscription/ Maintenance status, number of days left until license expiration, quantity entitled, end date of term and the order number.

  • Initiate License Allocation: For the given entitlement, you may have more than one product. Click on Allocate against the product for which you wish to generate the license.
  • Enter Host Details: When prompted, enter your Hostname of the machine where you will be deploying the product. Click Add another host to generate more than one license file for the given product.

Note: 

    • For Enterprise Vault, Discovery Accelerator, and Surveillance, you’ll need to generate a unique license for each server.
    • For eDiscovery Platform, you’ll need to generate a unique license for each master server.
    • For Data Insight, you’ll need to generate a unique license for each management server.
    • You do not need to generate a license for the following:
      • Capture (Merge1) servers
      • Servers where EV subcomponents are installed (e.g., Reporting Components, API Runtimes, Vault Administration Console) but that do not run EV Services
    • Within clustered Enterprise Vault (EV) environments and disaster recovery configurations, it is mandatory to generate a distinct license for every node residing within the cluster.
    • Only letters, numbers, and hyphens are allowed in the hostname.
    • You can generate only one license file per hostname, per product.
  • Download the File: Click Apply. For a single license, a file named [hostname_licenseID].lic will be downloaded to your local machine. For multiple products, the licenses will be downloaded in a single compressed (.zip) folder. Ensure all generated licenses are stored in a secure and easily accessible location.

Downloading or Returning a License File

The same licensing portal may be utilized to retrieve previously generated license files or to facilitate the return of an existing one.

  • Log in to the Licensing Portal: Navigate to portal.enterprisevault.com and enter your administrator credentials. If you are a registered user, you will receive a one-time Magic link on your email address. Click on the Magic link to get access to the portal.
  • Select Account: If your ID is associated with more than one account, you will be directed to the ‘Account Selection’ screen.

Note: You are allowed to only access ‘Compliant’ organizations from the account selection screen.

  • Locate License Management: In the main dashboard, click on the Licenses tab.
  • Select Your Product: Find the product in your list of active entitlements. You may use the search or filter to identify the right product.
  • Download Licenses: For the given entitlement, you may have more than one product. Click on the name of the Product. You will see a list of servers for which licenses are already generated. Click Download on individual servers. a file named [hostname_licenseID].lic will be downloaded to your local machine. You may also download in bulk by clicking the download icon on the top of the list. The licenses will be downloaded in a single compressed (.zip) folder.
  • Return Licenses: If you have generated a license incorrectly or no longer require an unused one, you can initiate a return by clicking the Return option located next to the corresponding server name.

Note: All user actions such as allocate, download, and return are logged in the Audit log.

Troubleshooting License Generation Issues

  • I am unable to login
  • Solution: You are not a registered user on the portal. Please register using your first and last name along with your order number or entitlement ID.
  • The ‘Account’ shows grayed out
  • Solution: Non-compliant accounts are grayed out in the licensing portal. Please contact customer support to know more.
  • I cannot find my product in the Customer Portal.
  • Solution: Ensure you are logged in with the email address associated with the purchase.
  • The "License" button is grayed out.
  • Solution: This means your administrator has restricted you from accessing licensing portal. Please contact your administrator.
  • The "Allocate" button is grayed out or hidden.
  • Solution: This means your maintenance for perpetual contract or your term for a subscription contract has expired. Please contact your organization’s administrator.
